Position Overview
TennCare's Office of General Counsel (OGC) is seeking one (1) contract Legal Assistant to provide administrative and legal support in response to a significant increase in communications from advocacy groups and legal organizations. This role will help improve operational efficiency by managing legal communications, maintaining tracking systems, preparing reports, and supporting attorneys with administrative tasks, allowing legal staff to focus on substantive legal work and complex matters.
Key Responsibilities
Shared Inbox Management
- Monitor the Office of General Counsel's shared email inbox throughout the business day.
- Review and route incoming inquiries to the appropriate business units or legal staff.
- Apply internal workflow tags and classifications to support tracking and reporting.
- Maintain an organized inbox by archiving, reopening, and managing email threads as matters evolve.
- Ensure timely handling of communications and minimize the risk of missed or delayed responses.
Tracking and Reporting
- Maintain and update the centralized tracking spreadsheet for all matters received through the shared inbox.
- Prepare weekly meeting agendas using information from the tracking system.
- Generate twice-weekly status reports for General Counsel meetings.
- Conduct monthly quality reviews of archived emails to ensure accurate categorization and documentation.
- Support reporting activities related to legal inquiries and case management.
Administrative Support
As workload permits, provide additional legal administrative assistance, including:
- Managing additional shared inboxes.
- Maintaining attorney calendars and scheduling meetings.
- Answering and directing telephone calls.
- Assisting with document organization and review.
- Taking meeting notes and preparing summaries.
- Performing other administrative duties as assigned.
Required Qualifications
- Associate's degree or equivalent combination of education and relevant experience.
- Experience supporting legal, compliance, government, or administrative operations.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Experience managing high-volume email communications.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities while maintaining confidentiality.
Preferred Qualifications
- Experience working in a legal office, government agency, or public sector environment.
- Experience maintaining tracking logs, reports, or case management systems.
- Familiarity with legal administrative processes and documentation.
- Experience supporting attorneys or legal professionals.
