Title: Grant Administrative Coordinator
Location: Nashville, TN - HYRBID
Duration:  11 Months – This is a 37.5 hours per week
We are seeking an experienced Administrative Assistant 4 to provide administrative and fiscal support for Maternal and Child Health (MCH) grant programs. This role will manage grant documentation, track budgets and invoices, coordinate with fiscal teams, and support program leadership. The position also supervises an Administrative Assistant 3 and helps ensure grant compliance with state and federal requirements.
Key Responsibilities
  • Provide administrative and fiscal support for grant-funded programs.
  • Track grant budgets, invoices, and expenditures.
  • Review and process invoices for accuracy and compliance.
  • Coordinate with finance and contracts teams to resolve payment issues.
  • Maintain grant records and documentation.
  • Support program directors with scheduling, reporting, and administrative tasks.
  • Supervise and mentor an Administrative Assistant 3.
  • Ensure compliance with TDH, HRSA, and CMS grant requirements.
Required Qualifications
  • Associate's or Bachelor's degree.
  • Minimum 2+ years of administrative or fiscal support experience with grant-funded programs.
  • Experience with budget tracking, invoice processing, and record management.
  • Strong Microsoft Office skills (Excel, Word, Outlook).
  • Excellent organizational, communication, and multitasking skills.
Preferred Qualifications
  • Supervisory experience.
  • Experience supporting public health, healthcare, or government grant programs.
  • Knowledge of HRSA, CMS, or federal grant compliance.
